How to Access the Registry

The Registry is capable of being accessed via the FileMaker Pro 15 application or selected Web Browsers  (Mac or Windows) or a large screen iPad using the FileMaker Go app. The requirements for each off these are discussed below.

Here are steps required to access the Registry.

  1. Each user wishing to access and enter data into the Registry must complete and return a signed 'Login Request' Form. If applicable, this form must also be signed by someone in your IT department signifying they have performed their checks and installs to ensure you can access the remote database.
  2. Once approved by the Registry manager, we will setup a Login Account for you linked to your institution (hospital).
  3. You will then receive a Welcome email containing your user name and password and some links to access the Registry. This email may also contain links to download any FileMaker software which is to be installed on your PC.

Testing your Remote Access to the Registry Server

We have a test file you can log into to test your connection to the Registry Server. Enter the login details below when prompted. Please note that these logins are for the test file only and you will be given new logins to access the Registry database.

Once logged in you can save the Host and the File as favourites.  Saving and using the File favourite will speed up access next time by bypassing the server login.

WebDirect Users

FileMaker Pro and FileMaker Go

For Desktop and FileMaker Go users we recommend you save the Favourite Host Name as: 'PHSANZ Server'

FileMaker Pro 16 (Mac or Windows)

Using the FileMaker Pro application installed locally on the users computer will offer high ease of use with the broadest functionality available. The FileMaker licence can be either supplied by your organisation or PHSANZ. Please note that the FileMaker Client Connection software supplied by PHSANZ does not require a licence key. The recommended requirements are shown below.


  • CPU: 1 GHz or faster x86- or x64-bit processor. RAM: 2 GB or more
  • Windows 10 Pro Edition, Windows 10 Enterprise Edition,
  • Windows 8.1 Standard Edition, Windows 8.1 Pro Edition
  • Windows 7 SP1 Professional Edition, Windows 7 SP1 Ultimate Edition
  • Microsoft .NET framework v4.6 or later.

  • RAM: 4 GB or more
  • Mac : macOS Sierra 10.12, OS X El Capitan 10.11, OS X Yosemite 10.10 (For FileMaker 15 only)
FireWall Access

  • Port 5003 must be opened in your institutions firewall in order to access the remote registry.

If you organisation cannot provide a copy of FileMaker Pro 16, then please email a request to PHSANZ for a download link for the FileMaker Client Connection software.

Web Browser Access (WebDirect)

Users can also access the Registry using a modern selected web browser using FileMakers WebDirect technology. Whilst not all functions are available, WedDirect users do not need the FileMaker application software installed on their computer. The recommended requirements are shown below. (The version  number is often found in the Help or About menus of the browser.)

Supported Web Browsers

  • Safari 10.x minimum
  • Chrome 55 minimum
  • Internet Explorer 11.x
  • Microsoft Edge 38 minimum
FireWall Access

  • Port 80 and 443 must be opened in your institutions firewall in order to access the remote registry.

  • From our tests Google Chrome seems to offer the best user experience on Macs. Safari browser on Mac subject to freezes during fast navigation and frequent login requests.

iPad Access

Users can also access the Registry using an iPad. Whilst not all functions are available, iPad users will need to download the FileMaker Go app from the iTunes App Store to gain access. The recommended requirements are shown below.

iPad Hardware

  • iOS devices running iOS 10.2 minimum and requires iTunes 12.x.
  • The FileMaker Go app installed from the iTunes App Store.
  • Large screen required with min resolution 1024 x 768 for realistic use.
FireWall Access

  • Port 5003 must be opened in your institutions firewall in order to access the remote registry. 

Information on Security

Here is some additional information which could be handy for IT and Management queries.

  • The Registry is hosted and located in a Tier 3+ data centre in Australia
  • Communication between client software and server is SSL encrypted – just as secure as internet banking. You should see a padlock icon in the top part of the screen to signify this.
  • The Registry database is backed up daily to another secure off-site location also housed in Australia.
  • Any data entered into the Registry by an institution can be exported again for their own use (Admin function only.)
  • All data exports are Patient de-identified (Admin functions)
